📜 Policies & Terms of Service

At Aspire Academy NZ, we are committed to providing a safe, professional, and high-quality experience for every athlete and family we work with. These policies are designed to ensure clarity, consistency, and fairness for all participants while maintaining the highest standards of care, safety, and professionalism.

1. Program Registration & Payment

Registration: All athletes must be registered through our official booking system before attending any program, session, or event. Registration is confirmed once payment has been received in full (or the first instalment if using a payment plan).

Payment Terms:
-
Full payment is required prior to the commencement of any program unless a payment plan has been arranged.

Payment plans must be set up and approved before the first session.

Failure to complete payments may result in suspension or cancellation of participation.

Bank Transfer Payments:
-
Bank transfer payments are accepted only for full upfront payments.

Payment must clear prior to the program start date for the booking to be confirmed.

2. Attendance & Missed Sessions
-
Punctuality: Athletes are expected to arrive on time for all sessions. Late arrivals may miss components of the session and will not be entitled to make-up time.

Missed Sessions:
-
We do not offer refunds, make-up sessions, or credits for missed sessions due to personal reasons (e.g. illness, holidays, other commitments).

Exceptions may be considered for extended absences due to injury or medical conditions if supported by a medical certificate. In such cases, a credit may be applied towards a future program at our discretion.

Public Holidays: Sessions will not run on public holidays unless otherwise specified. These will either be skipped or rescheduled as outlined in program communications.

3. Cancellations & Refunds
a. Program Cancellations by Aspire Academy NZ

In the unlikely event that we cancel a program or session due to unforeseen circumstances (e.g. facility closure, coach illness, minimum numbers not met), participants will be offered:

A full refund or
-
A credit towards a future program.

b. Cancellations by Participants
-
Before Program Start:
-
Cancellations made more than 14 days before the program start date are eligible for a full refund minus a 10% administration fee.

Cancellations made 7–14 days before the start date are eligible for a 50% refund or full credit towards a future program.

Cancellations made within 7 days of the start date are non-refundable.

After Program Commencement:
-
Once a program has begun, no refunds will be issued. In cases of serious injury or medical conditions, a credit may be offered at our discretion (a medical certificate is required).

4. Returns & Product Purchases
If you purchase Aspire Academy NZ merchandise, apparel, or training equipment, the following policy applies:

Change of Mind: Returns or exchanges for change of mind are accepted within 14 days of purchase, provided the item is:

Unworn, unused, and in original condition

In its original packaging (if applicable)

Accompanied by proof of purchase

Return shipping is the responsibility of the customer.

Faulty Items: If an item is defective or damaged on arrival, please contact us within 7 days of receipt. We will arrange a replacement, exchange, or full refund once the item is returned.

Custom or Special Orders: Customised apparel, team uniforms, or personalised items are non-refundable unless faulty.

5. Safety, Conduct & Expectations

Code of Conduct: All athletes are expected to behave respectfully towards coaches, staff, and fellow participants. Behaviour that is disruptive, unsafe, or disrespectful may result in removal from the program without refund.

Parental Responsibility: Parents/guardians are responsible for ensuring their child is fit and well enough to participate. Any existing medical conditions must be disclosed at registration.

Injury & Medical: Aspire Academy NZ takes all reasonable steps to ensure a safe training environment. However, participation in physical activity carries inherent risks. By enrolling, you acknowledge these risks and agree that Aspire Academy NZ is not liable for injuries sustained during training unless caused by proven negligence.

Medical Emergencies: In the event of an emergency, staff may arrange medical treatment and contact emergency services if deemed necessary.

6. Media & Photography

We occasionally capture photos and videos during sessions for use in educational, promotional, and marketing materials.

By enrolling, you consent to your athlete’s image being used for these purposes. If you do not wish for your child to be photographed or filmed, please notify us in writing prior to the program start date.

7. Privacy & Data Protection

All personal information collected during registration is handled in accordance with New Zealand privacy law.

We do not share personal data with third parties without consent, except where required by law.
8. Policy Updates
We reserve the right to update or amend these policies at any time to reflect changes in operations, legislation, or best practice. Any updates will be posted on our website and communicated to registered participants.
